How to Open Another User's Calendar in Outlook Web Access

Outlook Web Access Web Parts lets you access Outlook Web Access content directly from a URL
To do this, the account you use must be delegated at least reviewer access to the calendar folder of the mailbox.
  1. Enter the following URL:
    https:// Outlook Web Access URL /owa/ SMTP address of the other mailbox /?cmd=contents&module=calendar
    • If you are already logged on to Outlook Web Access by using a user ID that has at least reviewer access, the calendar will open immediately.
    • If you are not already logged on to Outlook Web Access, you will receive a logon prompt. Log on by using a user ID that has at least reviewer access to the calendar.

For eg, if I want to access Sean calendar via webmail, Sean will need to give me reviewer or editor rights to his calendar.
Here is what I'll type to access Sean's Calendar

Login with your username and password and the calendar will open immediately in weekly view

SSL Root Certificate Errors with Ent 2008 and Microsoft Exchange.

Working around SSL Root Certificate Errors with Entourage 2008 and Microsoft Exchange.

The following process will show how to set up SSL Certificate as digital ID so that you can avoid SSL "root certificate error."
Installing the Certificate as a Digital ID

1. Open the application called "Microsoft Cert Manager" located in the Office folder inside your Microsoft Office 2008 folder:
2. Import the Exchange Server certificate. No passphrase is required. Click on Import.
3. Now everything should just work when you create your Exchange Account and choose "Use SSL for these Servers" during the Entourage Setup Assistant:
4. Make sure you check the "DAV Service requires SSL" in the "Advanced" account settings for your Exchange user. If you still get the "root certificate error" when starting Entourage, don't forget to delete the "OfficeSync Prefs" located in your home directory's Library/Preferences folder and re-launch Entourage.

Congratulations. You are now done. Please test Entourage to make sure the certificate errors are completely gone. 

Error: Page cannot be found while logging into Webmail

Error: user on exchange 2003 server gets page cannot be found error trying to do webmail via OWAExternalURL. Synopsis: CAS proxying via isa requires users on exchange 2003 server to include user@domain.com as part of their email alias Resolution: Add user@domain.com to user's email alias list and user can now login to webmail successfully.

running out of disk space on server due to increasing system vol information

Windows 2003 Enteprise R2 with SP2 Server. The E drive hosts exchange database mount points
Running out of disk space and found out the System Volume Information folder is the culprit. Trying to access it gives access denied error
VSS snap points were created on multiple volumes. System has handle on these VSS volumes and as such the files can't be deleted
Unhide system folders. give your account full rights to the system volume information folder
1. Right-Click the volume drive letter where the large System Volume
Information folder is located.

2. From the shortcut menu, click "Shadow Copies".

3. Choose the volume, ensure that it's disabled, and click on settings

4. Set the Maximum size: field to "Use Limit:" and insert something like
300MB and click OK

5. Click Disable to disable Shadow Copies on the volume. You will be warned

"deleting existing shadow copies, etc.", Click Yes.

6. Click Ok to close out of the properties dialog for the volume. Click yes if prompted to delete existing shadow copies

User can log into computer with cached credentials but not outlook, and/or owa

The user could not log into the outlook client and OWA but could log into computer with cached credentials.  
Found the account to be locked out in AD. Unlocking the account in AD fixed the problem 

Configure Outlook 2007 to automatically empty deleted items

If you do not regularly clean out your Deleted Items folder in Outlook, it can quickly get out of control in size. When you delete a message from your Inbox, Sent Items or other folder within Outlook, the message is moved to the Deleted Items folder. This is where messages stay until you clean out the folder.
As an alternative, you can configure Outlook to automatically empty the Deleted Items folder when you close the application. You can accomplish this using the steps described below.
  1. Within Outlook, click Options from the Tools menu.
  2. Click the tab labeled “Other.”
  3. Check the Empty the Deleted Items folder upon exiting option.
  4. If you do not want a warning to appear each time the Deleted Items folder is emptied, click Advanced Options and clear the War before permanently deleting items option

Using Voting Buttons in Outlook 2007

You can use the Voting Buttons to get responses from colleagues. This is useful for tracking feedback from customers or colleagues. Outlook tallies the votes for you so that they can easily be assessed.

To Insert Voting Buttons into your Message:

1. Create your New Message.

2. Select the Options tab.

3. Select Use Voting Buttons.

4. Choose the voting buttons you wish to use from the four options provided (Approve; Reject, Yes; No, Yes; No; Maybe, or Custom).

5. Make sure your message is the way you want it, including the question or statement that is to be voted on. Make sure you have included the proper recipients for the email message.

6. Click Send.

The recipients of your message will notice a highlighted line of text (vote by clicking Vote in the Respond group above) showing up above the From line in the email. By clicking Vote, they will be shown the voting options to select from. After they select the desired voting option, a confirmation prompt will appear showing their selection and giving them the choice of sending the response or editing the response before sending.

Getting a Tally of the Votes:

You will receive the replies to your message with the selected voting option in the subject line. You could tally the votes yourself, however if you sent the message out to a large number of recipients, this could be rather time consuming. A better method is to let Outlook tally the votes for you.

1. Go to your Sent Items.

2. Open the message that had the voting buttons.

3. Go to the Ribbon.

4. In the Show section, select Tracking.

You will see the reply totals followed by a list of the individual votes.

How to Activate a 3G iPhone with Exchange Activesync

Apple's iPhone 3G (or a first generation iPhone or iPod touch with the 2.0 software update) allows for full synchronization of your Exchange contacts, calendars, and email. Following are step-by-step instructions on configuring for Exchange:

  1. Click on Settings
  2. Click on Mail, Contacts, Calendars
  3. Click Add Account...
  4. Click Microsoft Exchange
  5. Enter the following information, then click Save
    - Preferred Email address - Username: Domain\Username
    - Password: Password
    - Description: Exchange
  6. Click Next, Enter in the server name; example: mail.domain.com
  7. Click Next, Click Save
  8. Click Exchange
  9. Click ON to synchronize your Mail, Contacts, and Calendars

How to restore iphone after device wipe via OWA

To restore your iPhone to working condition after performing device wipe in Outlook Web Access:

1. Delete the iPhone from the device list in Outlook Web Access
2. Download iTunes to a computer.
3. The iphone is now in "Recovery Mode" (apple icon remains in the screen)
My Iphone is Stuck in Recovery Mode I've tried every thing and is not working
4. Open iTunes
5. Connect iPhone to the computer running iTunes
6. Hold the sleep/wake button AND the home button for about 8 seconds until the screen goes off.
7. Let go of the sleep/wake button but keep holding the home button for another 3 seconds until the iTunes software recognizes the iPhone. Let go of the home button.
8. Follow instructions in iTunes to Recover.

Setup Outlook to display message by hovering with mouse

To setup outlook 2007 to display message item by hovering, without opening the email, follow these steps:

1. While in Outlook, Click on View, Current View, Messages with AutoPreview
2. Click on view, arrange by, Custom, Fields,
3. Choose message from available fields and add
4. Click ok, ok

Hover an email message with your message and the email will be displayed. Long emails will not be displayed in entirety

Distribution/group contact lists issue with Exchange/Entourage

After migrating to exchange, the distribution lists I created in my contacts show up an work fine with the outlook client, but on my MAC, with Entourage, the group contacts do not appear. After looking this up it seems it is a known issue between the exchange server and the Entourage client. My users just recreated their groups in entourage.

Create multiple signatures in Outlook

To create multiple signatures and choose signatures as you wish before sending email, please follow the instructions below

--While in Outlook, Go to Tools, Options, Mail format,

--Signatures to create new signatures. Click on New to create signature. Repeat the process to create as many as you desire. Remember to choose one as your default

--Create a blank signature that contains 2 dashes ( -- ) to use when you don't want to use a signature.

--To insert a signature, either click the Signature button on the toolbar, or choose Insert | Signature. At this point, you can choose which signature you want if not the default

Some active sync users who travel often may not get push emails as they arrive

This is often due to network roaming issues. To prevent such errors, configure your active sync device to apply active sync sync schedule while roaming

** please note that roaming charges still apply and you might incur higher phone bill

Error not finding DC when installing Exch Mgmt tools on WinXP

Occasionally, while installing exchange management tools on windows xp, you may receive domain controller error. These errors are related: cannot find the RUS responsible for domain, New and existing users may not be properly enabled.

To resolve this error, go to command prompt and type

setup /r:MT /dc:'servername'

This installs the 32bit mgmt tool on your workstation. Note that all other pre-requisites have to be installed prior to mgmt tools installation

Note: to install the exchange 2007 mgmt tools/console, download exchange 2007 32bit with sp1 from Microsoft's website. run the setup file with this switch:  setup /r:MT /dc:'servername'

Enable Auto Processing of meeting requests for room mailboxes

Users with FullAccess to resource accounts can open it via Outlook or OWA.

Users prefer resource accounts to accept or deny requests automatically. For manual processing, the user must be setup as a delegate to that resource account
To enable auto processing from the powershell command line, type:
Set-MailboxCalendarSetting -id mailboxname -AutomateProcessing AutoAccept -AddOrganizerToSubject $False

How to give Access rights to Resource Accounts

For Exchange Admins/Engineers with appropriate rights, use this powershell command to give users or groups access to resource Accounts(room or equipment mailboxes)

Add-MailboxPermission -id mailboxname -AccessRights FullAccess -user jcontoso1 or resourceadmingroup

Recover Deleted Items in Outlook 2007

Microsoft Office Outlook 2007 provides a way to recover items after you delete them permanently, even after you empty the Deleted Items folder.
Note The Exchange team specifies the retention time for items that are deleted permanently on the server running Exchange. After this time elapses, you cannot recover the deleted items. Currently, the deleted item recovery time is set to 14days
You can view and recover deleted items, including the items that were deleted permanently, when you selected items and pressed SHIFT+DELETE or SHIFT+Button image.
  1. In the folder from where you deleted the item, or in the Deleted Items folder, click Recover Deleted Items on the Tools menu.Recover Deleted Items option
  2. Click an item and then click Recover Selected ItemsButton image. Tip To select multiple items, press CTRL as you click each item.
    Each recovered item is restored to the folder from which it was deleted.
    Note You cannot recover an item if it does not appear in the Recover Deleted Items dialog box.

Deleting Outlook Nickname Cache file

If you want to delete all addresses in the cache file (outlook.nk2):
  1. Close Outlook
  2. Open Windows Explorer or IE and Paste %APPDATA%\Microsoft\Outlook into the address bar.
  3. Delete the file Outlook.nk2 file in this folder
  4. All Done

This document shows how to configure Active Sync on a Windows Mobile Smart Phone to receive and send email using your Exchange email account.
Step by Step
1. Open ActiveSync
2. Configure server address
3. Configure user info
4. Set folders to sync
5. Select Finish
1. *Open ActiveSync
Select Start , then Programs. Open Active Sync.
2. Configure server address
Select Menu from the bottom right corner and select Server Source.
Enter your server name for the Server address and make sure this server requires an encrypted (SSL) connection is checked.

3. Configure user info
Select Next
Enter your Exchange User name and Password. This is your USERNAME and PASSWORD
Enter your domain for the Domain.
Check the Save Password check box.

4. Set folders to sync
Select Next.
Check the Exchange functions you would like Active Sync to synchronize. You can select any combination of Contacts, Calendar, E-mail, and Tasks.\

5. Select Finish. 

Accessing service accounts from Outlook 2007

Service accounts are usually shared mailboxes that multiple users can access. These accounts can be accessed via web client or Outlook client.
To access via the web, use this URL: https://owa.domain.com
The service account name is usually the login name. Login with the password assigned to the service account.
An Admin group is created to manage a particular service account or service accounts. Users in these admin groups can manage the service accounts by adding users to the admin group as needed and able to do some house cleaning.
To open the service account inbox or calendar via Outlook, please follow these steps:
· While in Outlook, click on File, Open other users folder
· Type the service account name and select desired folder(Inbox or Calendar)
· The Inbox or Calendar is now open
· Admin groups for the service accounts must have full mailbox access rights to the service accounts respectively
· The service account manager will have the password to be able to login via the web
· The service account manager will be responsible for adding users to the admin group as needed.

Outlook web access defaults to different language

User logs into outlook web access but sees everything in language other than English Language

Type this powershell command to figure out current user's language setting:

get-mailbox -id "mailboxname" | fl name, languages

to fix, type set-mailbox -id "mailboxname" -languages 1033

1033 is the code for English language-USA
